That includes shooting with dual-card cameras that immediately duplicate every image, maintaining redundant backups across multiple hard drives, and having consistent off-site storage for added security.

All of this equipment and infrastructure comes at a cost: camera cards range from $90 to $350, and external drives have seen a dramatic price increase over the past few years. Our team uses large 5-terabyte to 16-terabyte drives ($300-$550 per drive) and backs up every session on 2-3 drives. Because these aren’t just clicks on a camera or files. They are moments that can never be recreated.

I learned this lesson early in my career, 16 years ago to be exact, and it completely changed how I handle client files. I had a hard drive fail with 7 weddings on it. At an unexpected cost of $1574.23 later… I paid to recover the external hard drive it was on. Protecting your imagery is non-negotiable because protecting memories matters. Will your friend or a budget-friendly photographer be willing to pay for that on your behalf, or will they charge you for those failures? Something to ask. Technology fails daily.

  • What happens if you can’t make it, and how is coverage ensured?
